Booking Conditions

Your contract with Pilgrimage Options.

1. YOU PAY A DEPOSIT.

When booking a holiday, you must sign the booking form accepting on behalf of all your party the terms of these booking conditions and pay the deposit of £150 per person on coach holidays & £200 per person on flight holidays plus any travel insurance premium due.

All monies paid to Pilgrimage Options are held in a trust account which is run by an independent solicitor who will not release the money until you return from your tour, ensuring total security of your money. All flight holidays are covered under our ATOL No: 6515

2. YOU PAY THE BALANCE.

The balance of your holiday must be paid no later than 6 weeks before the departure date of your tour. If a booking is made within six weeks of the departure date full payment is required at the time of booking.

If the balance is not paid by the due date we reserve the right to cancel your booking, retain your deposit and apply cancellation charges as set out in paragraph 5 “If you cancel your booking”.

3. IF YOU CHANGE YOUR BOOKING.

If, after our confirmation has been issued, you wish to change to another of our Pilgrimages, change departure date, add special requests or change pickup point, we will do our utmost to make the changes.

This is provided that written notification is received at our office by the person who signed the booking form. A £30 administration charge will be applied. If you are booked on a flight the charges will be that of those set out by the airline, the exact price will be given to you before making the change.

4. NAME CHANGES.

Name changes can be made up to and including the day before departure. For coach holidays the change will cost £75.00 per name. On flight holidays the cost will depend on the airline conditions, this will be notified before any change is made.

5. IF YOU CANCEL YOUR BOOKING.

You may cancel your booking at any time but if you do so you will have to pay the cancellation charges as set out in the scale below. These charges are to compensate us on the risk of not being able to resell your holiday.

If you cancel you must inform us in writing and your cancellation only takes effect from the date we receive your notice. If only part of a booking is cancelled and the rest of the party still travel, the price will be recalculated for those still travelling including all relevant room supplements and disregarding any cancellation fees.

Prior to 42 days before departure deposit only

28 – 42 days before departure 30%

14-27 days before departure 45%

7 – 13 days before departure 60%

1 – 6 days before departure 100%

Note that your insurance policy may cover you against cancellation or you may be able to transfer your booking to another person.

6. CONDITIONS OF CARRIAGE.

When you travel on an aircraft, train or ship, the conditions of the carriage of that carrier apply and are subject to National & International conditions which may limit or exclude liability. Your contract made under this fair trading agreement is subject to English law and jurisdiction.

In all tours vehicles not owned by Pilgrimage Options will be hired to cover the Pilgrimages offered. Please note that facilities on board the coach may not be available from time to time (e.g. through mechanical defect), but be assured we will do our utmost to ensure that, wherever possible, facilities will be made available again as soon as practical.

7. RIGHTS OF REFUSAL.

We must point out that we reserve the unconditional right to refuse a booking or terminate a passengers Pilgrimage in the event of unreasonable conduct or ill health which in our opinion is likely to cause distress, damage, danger to other customers or our employees. If you are prevented from travelling as a result of such termination, our responsibility for your holiday thereupon ceases.

8. OTHER TERMS.

(a) You are responsible for ensuring that you are at the correct departure point at the correct time, we cannot be liable for any loss or expense suffered by clients because of their late arrival at any departure point.

(b) You must ensure you have a valid passport and visa if necessary.

(c) Smoking is not allowed on board the coach/aircraft.

(d) You must not play a radio cassette on board the coach/aircraft.

(e) You may not bring a pet or any other animal on our tours.

OUR CONTRACT TO YOU.

1. WE RESERVE YOUR PILGRIMAGE.

When we receive your deposit, a confirmation/invoice will be forwarded to you normally within 10 days of receipt. The contract is made between us when you receive our confirmation/invoice.

2. YOUR PILGRIMAGE PRICE.

A no currency surcharge has been given for all bookings appearing in this brochure. However surcharges may be applied on the following items for increase in: fuel, ferry fares, flight fares, government action such as VAT or any other government imposed increases. Even in this case we will absorb an amount equivalent to 3.5% of the holiday price, which excludes amendments and surcharges. Only amounts in excess of this 3.5% will be surcharged.

If this means paying more than 10% on the holiday price, you will be entitled to cancel your holiday with a full refund of monies paid except any amendment charges. We will not surcharge within 21 days of your Pilgrimage.

3. IF WE CANCEL YOUR HOLIDAY.

It is necessary for there to be a minimum number of passengers in order for us to operate a Pilgrimage. If this number is not achieved 25 days before the due date of travel the holiday could be cancelled. If this is the case you will be notified at least 21 days before travel by letter. If the tour should be cancelled we will offer an alternative holiday or a full refund of money paid. We will not refund any travel arrangements or hotels which have not been booked by Pilgrimage Options.

4. COMPLAINTS PROCEDURE.

If you have a genuine complaint about any aspect of your holiday you should notify our representative immediately who will then try to resolve the problem. If however the problem is not resolved you should take the matter up by letter within 21 days of returning from your tour. Any letter of complaint should be addressed to Gareth Williams, Pilgrimage Options, Unit 1 Finlan Road, Stakehill Industrial Estate, Middleton, Manchester, M24 2RW.

5. OUR RESPONSIBILITY TO YOU.

We accept responsibility for ensuring that all component parts of your holiday as described are supplied to you to a reasonable standard and this includes any excursions included in the cost of your holiday. If any such part is not provided in the advertised manner, we will pay you compensation unless the non-provision was due to circumstances beyond our control such as adverse weather conditions, road or traffic conditions, hostilities, political unrest or reasons relating to force majeure. In no circumstances will compensation exceed the amount of your holiday cost.

Please remember that some hotel amenities (e.g. hotel lifts etc) require servicing or cleaning and may not therefore be available at all times. Some services may be affected by weather conditions and their availability is entirely at the discretion of the service provider.

DATA PROTECTION ACT

In order to process your booking and to ensure that your travel arrangements run smoothly and meet your requirements we need to use the information you provide such as name, address, any special needs/ dietary requirements etc. We take full responsibility for ensuring that proper measures are in place to protect your information. We must pass the information on to the relevant suppliers of your travel arrangements such as hotels, transport companies etc.

The information may also be supplied to security or credit checking companies, public authorities such as customs/immigration if required by them, or as required by law. Additionally, where your tour is outside the European Economic Area (EEA), controls on data protection in your destination may not be as strong as the legal requirements in this country. We will not, however, pass information on to any person not responsible for part of your travel arrangements.

This applies to any sensitive information that you give to us such as details of any disabilities or dietary/religious requirements. If we cannot pass this information to the relevant suppliers, whether in the EEA or not, we cannot provide your booking. In making this booking, you consent to this information being passed on to the relevant persons. We retain your full contact details and other information in secure files and electronic storage facilities. We may use this information to contact you by mail or electronic means with details of future tours.
